Grafix Media (“we”, “us”, “our”) respects your privacy. This policy explains what personal information we collect through grafix-media.ca, how we use it, and your choices. We handle personal information in line with applicable Canadian privacy laws.
Information we collect
When you place an order: your name, company name (if provided), email address, phone number, billing and shipping addresses, the products you order, and any files, artwork or notes you send us for your job.
Payment information: card payments are processed securely by our payment provider, Square. We do not see or store your full card number. We receive only a confirmation of payment and a transaction reference.
When you sign up for our newsletter or contact us: your name, email address and anything you include in your message.
When you browse our website: standard technical information such as your IP address, browser type and pages visited, collected through cookies and similar tools. Some cookies are needed for the shopping cart and checkout to work.
How we use your information
We use your information to:
- process, produce and deliver your orders
- prepare estimates, invoices and receipts, and keep accurate business and tax records
- contact you about your order or respond to your questions
- send you news and offers, only if you’ve signed up (you can unsubscribe at any time)
- keep our website secure and working properly
We do not sell or rent your personal information.
Who we share it with
We share information only with service providers that help us run our business, and only as needed for them to do their job:
- Square, for payment processing
- Intuit QuickBooks, for accounting, estimates and invoices
- Our website host and security providers (including Cloudflare), for running and protecting the website
- Shipping and courier companies, for delivering your order
We may also disclose information if required by law.
Some of these providers store data outside Canada, including in the United States. Information stored outside Canada may be subject to the laws of those countries.
How long we keep it
We keep order and payment records for as long as needed for business and tax purposes. This is generally at least six years, as required by the Canada Revenue Agency. Newsletter information is kept until you unsubscribe.
How we protect it
We use reasonable safeguards to protect your information, including secure (encrypted) connections on our website and access limited to staff who need it. No method of transmission or storage is completely secure, but we work to protect your information.
Your choices and rights
You may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to marketing emails at any time. Some information must be kept for legal or accounting reasons. To make a request, contact us using the details below.
